Appointment management

Schedule, prepare for, and follow up on medical appointments.

Adding appointments

Navigate to Care Hub > Appointments and click "Add Appointment." Enter the provider name, specialty, date and time, location, and any notes about the purpose of the visit. You can categorize appointments by type: primary care, specialist, dental, therapy, lab work, imaging, or other. The appointment appears on the dashboard as the date approaches. All care circle members can see upcoming appointments, so everyone knows what is scheduled.

Preparing for appointments

Before any appointment, write down the questions you want to ask, especially about recent changes in weight, vitals, behavior, or medications. You can generate a care report with the medication list and vitals data to hand to the provider. (Automatically suggested visit questions are not switched on yet.)

After the appointment

Use the appointment notes feature to record what happened: changes to medications, new diagnoses, follow-up instructions, referrals, and lab orders. This creates a permanent record that the whole care circle can reference. If medications were changed, update the medication list immediately. If follow-up appointments were scheduled, add them right away. These notes are especially valuable when one family member takes the parent to the doctor and others need to know what happened.

Recurring appointments and calendar export

For regular visits such as monthly blood draws, weekly physical therapy, or quarterly specialist checkups, set the appointment as recurring. The app creates future appointments automatically, and you can modify individual occurrences without affecting the series. Export appointments to your personal calendar (Google Calendar, Apple Calendar, Outlook) using the iCal export feature so care appointments appear alongside your own schedule.

Tips

Schedule specialist appointments well in advance since wait times can be long. Add transportation notes if someone else is driving or if special transport is needed. Write your questions down before every visit, since it is easy to forget things in the exam room. Update the medication list after any appointment where medications changed. The printable visit preparation sheet consolidates everything you need for the appointment on one page.
